- James has approved a bunch of forms, and the deadline is today at 5pm

- State Chancellor’s Office is redefining distance learning guidelines to be more aligned with Federal standards

- Academic Senate is having a big discussion today on how to support students through this and what to do if something like this happens again

- We had an extra layer of peace of mind thanks to our single sign on through MyPortal

- We’re going to make sure we have systems going forward to back up content from Canvas
- AI Survey Results

- We only got about a 3% response rate, so we definitely need to be mindful of survey fatigue

- It seems like most surveys from Winter 2025 got a lower-than-normal response rate
AI Enterprise Access
- De Anza students do not have access to Gemini or Notebook LM, but they do at Foothill
- De Anza staff and faculty have access to the Pro version, but we want to extend that for students as well
Proctoring Software

- 73 responses from employees and 17 responses from students

- Folks were fairly familiar with most types of proctoring software, but least familiar with AI-Automated Monitoring and Biometric Identification

- Overall, many of the questions had a lean, but not necessarily a clear consensus

- The student perspective was more negative on proctoring software
- Recommendations from the Committee (Action Item)
- The slides were approved indivudally by the committee as recommendations to Senates with notes including updates, discussions, and additional recommendations.

- Slide 2: Thumbs up. Sara wonders about the actual implementation. Lianna says that encouraging this is fine but hopes it’s not interpreted as recommending we move away from exams entirely.

- Slide 3: Thumbs up. Lianna points out that the first and second bullet points are quite different, and the second one would include lockdown browsers. Let’s split the slide.

- Lockdown browsers have big accessibility issues. We would need an extensive guide to make sure they are implemented equitable.

- Lianna brings up paper exams – if this ends up steering faculty back to paper, then there are major accessibility issues with paper as well.

- Sara brings up that this ultimately comes down to presenting options and showing the accessibility strengths and weaknesses of each and then leaving things to faculty discretion.

- Lianna wonders whether CVC’s suggestion of lockdown browser to block agentic AI should be added to this presentation. James comments that this doesn’t have to be the end of the conversation, more recommendations can come up in the future.
